The specification references ticket booths, gate management, ticket/wristband checking and attendance reporting; however, there does not appear to be a dedicated category for event ticketing or event technology services.

Could the City please clarify whether ticketing and associated event technology services, including online ticket sales, attendee registration, access control/check-in and attendance reporting, are intended to fall within the Event Management Services category or another category under this Panel? If not, will these services be procured separately?

Currently the City of Bunbury will not tender for event ticketing or technology equipment as the only event that needs these services is the AFL which is provided by Ticketmaster.

This panel is intended to support a variety of community and major events, each with differing sizes, layouts, floor plans, and furniture requirements. As a result, the City is unable to provide a single event or project specification as a basis for pricing.

Tenderers are requested to provide details of the furniture, equipment, and related services they can offer, including available inventory and capabilities relevant to event delivery.

Here’s a list of the events the City currently delivers:

1. Christmas in the City

2. Sky Fest

3. Walk for Reconciliation

4. CoB Day Out

5. Big Weekender event – subject to agreement with the AFL, as this forms part of the broader AFL weekend.

6. AFL event – subject to agreement with the AFL.

Depending on staff availability and the scale of the event, we have also engaged contractors to deliver specific components or, where required, the event in its entirety.

In addition to these events, our team also coordinates one-off events and activations, including facility launches and milestone celebrations. Recent examples include:

• Hands Oval Pavilion launch

• Koolambidi Woola precinct launch

• Koombana Foreshore launch

• Wardandi Wanil Art Centre launch

Other teams across the organisation also deliver major events and exhibition openings, including the Mayor’s Office, BRAG, Bunbury Museum and Heritage Centre, and Libraries.

Could you please advise of which regions the City of Bunbury would seek to engage suppliers for the panel? Would Perth be within designated regions?

Is there a requirement for drinking water stations? We are an event management company that is back by an inventory of event equipment. We run large scale festivals, events and activations dealing with end-to-end management and logistics including waste collections, cleaning etc.

Thank you for your enquiry.

The City of Bunbury would consider suppliers from Perth and other surrounding regions for engagement under the Events Goods & Services Panel.

With regard to drinking water stations, the City does not currently have a specific requirement for additional drinking water stations as part of the panel. Existing drinking water infrastructure and hydration station arrangements are generally considered sufficient for the events currently delivered by the City. Where required, the City may utilise existing venue infrastructure or existing hydration station arrangements.

We encourage suppliers to nominate all relevant services and capabilities they can provide as part of their submission, as the panel is intended to support a broad range of event requirements.
