The Scenic Rim Regional Council is inviting tenders for the supply of minor works, asset maintenance and associated services to Council properties and assets throughout the Scenic Rim Region. The initial contract term is two (2) years, from 1 November 2026 to 31?October 2028, with two (2) optional 12-month extensions exercisable at Council’s sole discretion.

Part E Pricing Schedule, instruction tab – Contract Pricing Conditions states;
Tendered values must remain fixed for a minimum of twelve (12) months from the contract commencement date. Price adjustments thereafter may only occur in line with the CPI Review provisions outlined in Section 2.4 – Tender Pricing – Price Adjustments of the Part C – Specifications during the term of the contract.
We cannot locate this Section 2.4- Tender Pricing – Price Adjustments of the Part C. Please confirm where this is located in tender documents.
Contract has various “Error! Reference source not found” throughout, you may need to review to confirm.
Please confirm Profession Indemnity insurance requirements and $ limit required, contracting requirements in tender documentation.
Please confirm Cyber Liability Insurance requirements and $ limits. Listed in Part B Conditions of tender but not in Contract and turned off in excel returnable.
Please confirm if you wish to have the excel returnable schedules returned in excel, with sign off pages in PDF?

1. The CPI is the standard rate for Australia, 3.8% per year. Please track any changes to calculate the annual CPI.
2. After scanning the documents I can find no Error! Reference not found" in any of the Schedules. Please let us know where the errors occurred so we can resolve the issue.
3. Present in Part C - Scope of Works - 3.3 Mandatory Requirements is listed Professional Indemnity Insurance - "Minimum cover of $10,000,000 (TEN MILLION DOLLARS) per claim".
4. Cyber Liability is not applicable in this Tender due to not being present in the Scope of Works.
5. Please return all Excel files with completed cells, with sign off pages in PDF.

Part C Scope of Works section 1 and Part F Draft Contract Schedule 1 both state an initial term of three (3) years, 1 December 2026 to 30 November 2029, with two optional 12-month extensions. Please confirm which initial term and commencement date apply, as submitted rates are held for the initial term.

Part E Pricing Schedule item 7 asks for Air Conditioning rates, and the VendorPanel listing advertises Air-Conditioning Maintenance, Refrigeration and Lift Maintenance. Appendix A of Part C (Schedule of Requirements) contains no service description for air conditioning, refrigeration or lifts. Please confirm the intended scope of item 7 (planned maintenance, breakdown repair, replacement and installation), the equipment types covered, and any sites or asset counts, so item 7 can be priced on a common basis.

This contract, including any Air-Conditioner work, Refrigeration and Life Maintenance is general servicing (any major upgrades and testing will be undertaken under a different contract).

Council acknowledges a discrepancy in Mandatory Insurance requirements and confirms $10million Professional Indemnity Insurance cover is mandatory applicable to the service tendered eg Building Certification Services; Structural and Building Design. Please note, this discrepancy involves Part C - Scope of Works; Section 3.3 Mandatory Requirements - Insurance and Part D - Response Schedules; Respondent Details - Insurances.

Could you please clarify whether Professional Indemnity Insurance is an essential mandatory requirement for this tender?
We note that the tender documentation appears to reference a requirement for $10 million Professional Indemnity Insurance; however, another section appears to indicate that Professional Indemnity may not be applicable.
As Maintain Australia is tendering for minor works, asset maintenance and associated services, could Council please confirm whether Professional Indemnity Insurance is required for all tenderers, or only where the contractor is undertaking professional, design, engineering or consultancy services?
We would appreciate confirmation as to whether this is a mandatory requirement for contract award.

To ensure a fair and consistent assessment of all tenders, Tenderers are required to complete Part E - Pricing Schedule as issued and are not to amend its structure or format. Any additional pricing information or explanatory notes may be included as supplementary information; however, Part E must be completed in full for evaluation purposes.
