The scope of this procurement includes the supply of the ITSM platform, implementation services, configuration, data migration, system integration, user training, ongoing support, and managed service requirements. The proposed solution must align with industry best practice service management frameworks, including ITIL, and support UniSQ's operational and strategic objectives.
UniSQ's objective is to establish an ITSM solution that is cyber security and privacy compliant, integration-ready, and capable of enhancing service reliability, user experience, workflow automation, reporting and analytics, knowledge management, governance, and continual service improvement. The solution should also support UniSQ's broader digital transformation roadmap and future service delivery requirements.

ServiceNow is supporting enquiries from our partner network for this tender. It sounds like University of Southern Queensland (USQ) is seeking a single vendor approach to this, with provision of the platform, implementation services, and support services delivered by a single vendor. ServiceNow works with 30+ universities across Australia, and all universities procure their licenses for the SeviceNow ITSM platform directly from ServiceNow, and contract with their implementation and partners separately. This provided the most flexibility to the universities, as they can choose the partner/s best able to deliver each specific service or project outcome. A direct relationship with ServiceNow also opens up preferential commercial options for universities, with a CAUDIT-aligned master ordering agreement and EFTSL-based price book that is beneficial for universities.
Is USQ open to a similar arrangement of a direct platform relationship with ServiceNow?

Our assumption is SAAS as you have included the Module 3 as-a-service QITC document but not the Module 2, which is for software. We are happy to bid either SAAS or on premise, but do not have scope to bid both in the time frame.

The checklist references the following three items as part of the required response set:

Pricing schedule is mentioned in the other places of the document.
None of these templates have been provided as separate files with the ITO documents. Could you please confirm whether standard templates exist for these items, or whether we can use the following sections to provide the response?

Could UniSQ indicate the approximate number of users requiring simultaneous full agent capability at peak, and the approximate split of the 988 between daily, weekly and infrequent use?
Of the approximately 740 approver users, do any require capability beyond submitting requests, approving requests and changes, and viewing the status of their own items?
Of the approximately 988 users with some agent access, approximately how many need to create, update and resolve tickets, as distinct from completing assigned fulfilment tasks or viewing records?
Volumes and service levels
Could UniSQ provide indicative annual or monthly incident and service request volumes, and any known seasonal peak profile such as enrolment or semester start?
Addendum 17 lists indicative migration volumes for knowledge articles, problems, incidents and development or project records. Could UniSQ confirm whether change records are also in migration scope, and provide an indicative volume?

Integrations
Of the integration points listed in Addendum 17, are all required to be operational at go-live, or can any be delivered in a later phase? A priority order would assist accurate scoping and pricing.

UniSQ has repeatedly confirmed that the published user, licence and CMDB figures are indicative estimates only and not guaranteed or contractual quantities (Addendum 17). Would UniSQ accept a commercial model where core implementation pricing is fixed against the assumptions stated in a respondent's offer, with a pre-agreed rebaseline or change-control mechanism if actual volumes are found to differ materially once validated during early discovery?
Q6. Managed Services minimum term expectation
